An audit trail should reconstruct a business action using its actor, object, time and outcome. It should not become an uncontrolled duplicate of customer data.
Select meaningful events
For a fictional budget-approval portal, record permission changes, approvals and sensitive exports. “Update succeeded” does not explain which decision changed. Recording every document body, however, can create a second exposure surface.
| Field | Example |
|---|---|
| Actor | Internal identity and organisation context |
| Action | Approval, revocation or export |
| Object | Resource type and identifier |
| Outcome | Accepted, denied or interrupted |
| Correlation | Request or operation identifier |
Separate diagnostics from business history
Technical traces help engineers repair failures; business history explains decisions to authorised users. Their access rules and retention needs may differ. Protect both and avoid including secrets, access tokens or passwords in events.
Does a log automatically prove an action?
Its evidential quality depends on completeness, identity and protection against alteration. Do not promise automatic legal significance. Test denied requests, service-account actions and administrative changes. An investigator should be able to connect the relevant steps without receiving every sensitive detail handled by the application.
Time zones in an investigation
Display a clear time-zone convention and preserve an unambiguous timestamp for each event. A support operator and customer may otherwise describe the same action as occurring on different days. Keep display localisation separate from the underlying event identity.
